Obtaining copies of records

    » Fees

No archival material is allowed to leave the Archives area. Items from the Archives do not circulate.

Staff and faculty may request a photocopy, fax, or digital image of the material for internal purposes. For all other purposes, the Archivist will provide photocopies or faxes only. Fees may apply.

Library staff will make all copies or scans using Library equipment, and copies will be clearly marked with a Salve Regina University credit line. These copies, whether physical or digital, are provided for personal research use only. They must not be transferred to any other person or institution and must not be reproduced, published, exhibited, or otherwise distributed without written permission from Salve Regina University.

Patrons must not remove any items from their folders. To indicate which pages should be copied, patrons will use the following procedure:

1. Use white flagging strips available from the Archivist.

2. Complete 2 flags for each sequence of pages to be copied. Place one flag on top of the first page to be copied; place a second flag behind the last page to be copied. Write "Start" on the first flag and "End" on the second flag.
  a. Facing pages in a single document that fit within an 8 ½" x 11" area may be counted as one page.
  b. Small items such as clippings cannot be combined on one copy; each item counts as a separate page.
  c. Do not rearrange material in folders.

3. Replace flagged folders in their containers with flags upright and notify Library staff that the material is ready to be copied.

Copies of material in poor condition will be made at the discretion of the Archivist. The Archivist will not copy fragile or brittle material if the copy process will cause damage to the original item.

The Archivist may also decline to copy material because of access restrictions, privacy or confidentiality concerns, known copyright restrictions, or other identifiable factors.

The Archivist reserves the right to reject any request for copies which would place an undue burden on the Archives' resources and staff.

Supplying a photocopy is not an authorization to publish. Patrons should be sure to read the Archives Copyright Statement.

FEES: Fees must be prepaid by cash, check, or money order in US dollars.

Photocopies:
Staff and faculty, internal purposes....Free

Staff and faculty, personal research....First 25 pages free, then $.25 per page, up to a total of 100 pages per semester

Students and alumni....First 25 pages free, then $.25 per page, up to a total of 100 pages per semester

Non-affiliated researchers....$.25 per page, up to a total of 100 pages per semester

Digital images:
Staff and faculty, internal purposes....Free

For all other uses, contact the Archivist for policy and fees.

Duplicate photographs:
Contact the Archivist for policy and fees.

Shipping:
$1.00, up to 3 oz.
