The McKillop Library's public printers are multi-purpose Ricoh machines which can copy, print, and scan. Several features are available with these machines:
- Color printing as well as black & white
- Double-sided (duplex) printing
- Scan-to-email feature
- Selection of paper size
- Printing from Salve laptops over the wireless network (Salve Students only; excludes Faculty, Staff and Guests.)
- Black & White printing/copying costs .10¢ per side of page;
- Color printing/copying costs .25¢ per side of page Each student is given $20.00 per semester for printing. This initial $20.00 is free to the student and includes 200 sheets of single-sided black & white printing or 40 sheets of double-sided color printing. (Please note that color printing will deplete the number of allotted pages faster.)

Students, faculty, and staff will now need their Salve IDs
to copy, print, and scan.

1. Swipe your Salve ID. (A valid Salve ID is needed to print, copy, or scan).

2. The on-screen display will show your printing balance. Press "OK" on the display screen.
3. Your print jobs will be listed on the display screen. With your finger, highlight the job(s) you wish to print. Or touch "Print All" to print all listed jobs.
(Options such as color-printing, double-sided (duplex) printing, or other preferences must be set under the Print Properties menu at the computer before sending the document to print.)
4. Press "Print" on the display to print the selected jobs. (You may also press "delete" to delete a print job; Your account will not be charged until you touch "print").

5. WHEN FINISHED, PRESS THE "LOGOUT" BUTTON ON THE DISPLAY SCREEN (or use the "Pharos Logout" button on the left panel if you are in Copy or Scanner mode).
(Your account will also automatically log-off after 60 seconds, but this gives time for someone else to see your account.) - How do I print wirelessly from my laptop?

2. On the left sidebar, click on "My Printing"
3. Follow the instructions to download and install the wireless print client to your computer. - How do I use the machine as a copier?

4. The default settings for copying documents are single-sided, black & white. To change the settings (for example, to double-sided, or to copy in color) use the settings on the left side of the display.

5a. To copy loose single-sided documents, place the pages printed side up onto the paper feeder and then press the Start button. Please be sure to remove all staples or paper clips before placing pages into the feeder. When finished, remove your original documents from underneath the feed tray.

5b. To copy pages from a book or journal:- (A.) Lift the top of the scanner to expose the scan bed.
- (B.) Place the left page of the journal or book face-down onto the scan bed. Then press the "Start" button to copy.

- (C.) Next, place the right page of the journal or book face-down onto the scan bed. Then press the "Start" button to copy.

- Repeat steps B and C above for each page until you are finished copying.
- Don't forget to Log-Out of your account when finished.
- How do I scan to email?
- To Scan, follow these steps:
1. Swipe your Salve ID. (A valid Salve ID is needed to print, copy, or scan).

2. The on-screen display will show your printing balance. Press "OK" on the display screen.
3. Press the "Scanner" button.

4. On the display screen, press "Manual Entry."

5. Using the on-screen keyboard, type in your Salve e-mail address and then press "OK" in the top right corner.

6. Lift the top of the machine to expose the scan bed.
7. Place the left page of the journal or book face-down onto the scan bed. Then press the "Start" button to scan.

8. Next, place the right page of the journal or book face-down onto the scan bed. Then press the "Start" button to scan.
9. Repeat steps 7 and 8 above for each page until you are finished scanning.
10. When finished, press the pound (#) button on the right side keypad. The document will be sent to your e-mail. - Troubleshooting: What do I do when...?
- I have sent documents to print, but my print queue is empty.
If you send documents to the printer but there are no documents in the queue when you swipe your Salve ID at the printing machine, please go back to the computer and check that you are logged in under your Salve ID and not someone else's login.
To check, click on the "Start" menu (on a PC) and look at the log-in name at the top of the menu. Or, on a Mac, click on the Apple icon on the top left corner of the screen and check the log-in name at the bottom of the menu. If the name does not match your own, save any documents you are working on and log-off of the computer and then log on again using your Salve login.
It is strongly advised that, before logging off of the computer, you save your documents to your MyData, a Flash drive, or e-mail them to yourself. Do not save them to the desktop or any folder on the computer; once you log-off of the computer the documents will be cleared from the hard drive.
I need to print a large job.
If you need to print a large document, such as a thesis, you may receive a printing or billing error on the machine. This error occurs because the machine limit is $19.99 per job. To print, please either try breaking-up the print job into smaller increments or go to the Copy center (located in the Garden level of the McKillop Library).
The machine appears to be off.
When the multifunction machines remain unused for a period of time they automatically go into "sleep" mode. To "wake up" the machine, simply press the "ON" button located on the upper right side above the number key pad.
The machine is beeping and a red light appears next to a button.
If a red light appears next to a button, press the button to view the error.

- Error 1: Paper Mismatch
Commonly, an error is caused by a paper-mismatch, which occurs when a job calls for a size paper that the machine does not hold. To correct the error, choose another size sheet of paper from the ones presented on the display, and then press "Continue." This should correct the error and your jobs should print.

- Error 2: Machine is Out of Paper
If the machine is out of paper, please ask a Staff person for help.
- Error 1: Paper Mismatch
- Can I still print after my printing allowance is spent?
- I am not a member of the Salve community; how do I print in the library?
- Users must retain their guest printing receipt which contains their user pass ID and PIN/Password; if a print pass is lost we are unable to retrieve your information.
- Refunds are NOT given for lost passes.
- The dollar amount inserted into the kiosk is the amount applied for printing, so users should enter exact change only. The kiosk does not make change, nor does it offer dollar amount options once money has been inserted.
- The card swipe on the front of the machine is not available for use at this time.
- a. Touch the "Create Guest Pass" button on the Kiosk welcome screen to create a new Guest print pass.

b. Press "OK" when asked if you wish to create a Guest pass at this time.
c. Insert dollar bill(s) into the note reader (exact change only). Press "Done" when finished.

d. A confirmation screen will appear with your account number and PIN, which will also be printed on the receipt. Press "Continue" to print your print pass.

e. Press "OK" at the "Your guest card should be printing now" message.
f. Take the receipt to the computer and proceed to Step 2. - a. Choose "Print" from within the desired document.
b. The Print Window will appear; the default printer should be "Ricoh Multifunction Guests" when logged-in as a Guest user.
To choose options such as duplex (double-sided) or color, click the "Properties" button and see Step C.
If no other options are needed, click "OK" and proceed to Step D.
c. (optional). In the printer properties window, choose the following (click "OK" when finished):
- Change "Black & White" to "Color" if color printing is desired.
- Change "Duplex" from "Off" to "Open to Left" if double-sided printing is desired.
- Make any other desired changes at this time (orientation, etc.)

d. The "print job details" window will appear. In the space provided, enter the Username from the printed Guest pass receipt. Then click "Next".

e. A second "print job details" window will appear. In the space provided, enter the password (i.e. PIN) from the printed Guest pass receipt, then click "Print".
f. Take the printed guest pass to a Ricoh printer/copier/scanner on the 1st floor and proceed to Step 3. - a. Gently tap the welcome display, which should read "Please Swipe SalveID Card or Enter User/Pass."
b. A keyboard will appear. With a fingertip or the eraser-end of a pencil type in the Username from the printed Guest pass, then press "OK" located in the upper right corner.

c. The welcome message will briefly appear, then a second keyboard will display. Type in the Password (i.e. PIN) from the Guest pass receipt, then press "OK".
d. A screen will appear which will display the current available print balance ($.10 per side of page is deducted for black & white printing; $.25 for color printing). Press "OK" to continue.

e. The list of documents sent to the printer should display on the screen. From here, the user may either:- Press "Print All" which will print all of the documents, clear the print queue, and deduct the total print cost from the user's account, OR
- Touch each print job name to add a small "x" in the box next to each print job (only jobs with an "x" beside them will print). The total cost for printing each job will appear to the right of each print job. When user is ready to print, press the "print" button, which will print the selected documents, clear the print queue of the printed documents, and deduct the total print cost from the user's account. (Jobs not printed may be selected by touching them and then choose "delete;" alternatively, unprinted jobs will be cleared within a few hours).
- f. When finished printing, touch "Log-Out" (you will also be automatically logged-off after 60 seconds of inactivity.) Users are urged to keep and re-use their print receipts for future printing.

Guest users with a Guest Pass may also use the Copy and Scan-to-Email functions on the Ricoh machines.
Note: Once a user has created a Guest pass, they may keep the same username/PIN combination and add funds to their account as needed.
To add funds to an existing Guest pass:
- Press "Log-On" at the Kiosk welcome screen.
- Follow the prompts to enter the User ID and PIN from your current Guest pass.
- Insert bills when prompted (exact change only). Funds will be then added to the Guest pass.
To choose print options such as double-sided (duplex), color, or page orientation, choose "Properties" or "Preferences" from the Print window.

For color printing, choose "Color" from the "Black and White" menu on the lower left. For double-sided, choose "Open to Left" under ""Duplex" on the right.

For color printing: Click on the Printer name "B&W - McKillop 1FL Ricoh..." from the Print window to open the menu. Choose "Color - McKillop 1FL - Ricoh MP C5000"

For double-sided, click on "Copies & Pages" and select "Layout," then change Two-Sided from "Off" to "Long-edge binding."
You can then release your print jobs by swiping your Salve ID from any Ricoh Multifunction machine in the library. You may send as many print jobs to the printers as you need, and then print all jobs when you are ready. Print jobs will be held in the system for approximately two hours until they are automatically cleared.
The "Copy" button will create printed duplicates of your paper documents. You may use the flatbed scanner or the paper feed tray at the top of the machine. The feed tray works with single or multi-page documents (please remove staples or paper clips); the flatbed scanner works best to scan pages from a book or journal, or smaller items such as a passport or license.
The "Scanner" button will scan copies of paper documents into a PDF and send the file to your e-mail (this option is free and your account will not be charged for printing).

To print from a laptop, you must first download the Pharos printing software onto your laptop. To install the Pharos Printing Software:
To print from your laptop, you must be in the library and connected via wireless network to "SRU Community." After installing the software, three printers will be available in the printer list; the printer for the library is named "Ricoh Multifunction Guest." (The other two printers listed are for the Computer Labs, named HP Black + White Guests, and Xerox Color Guests).
You will then be prompted to enter your username (firstname.lastname) and your password (the same one you use for email). You should then click "Print" which will send the print job to the Ricoh machines. Note: you will be prompted for your username and password each time you try to print.

To Copy, follow these steps:
The machine will not display any messages confirming that your document was successfully scanned. Before leaving the library it is advised that you check your Salve e-mail to ensure that your document scanned successfully.
If your documents are not printing, please do not re-send the jobs to the printer; you may be charged.
Unused printing allowances will not roll-over and be added to the next semester's printing balance.

Note: There is no print confirmation message, therefore users are urged to stay logged-in at their computer and/or have the document(s) saved so that they may be accessed in the event that printing is unsuccessful.
Note: Users will be prompted to enter their Password/PIN combination each time they attempt to print.
